The University of Colima, a public institution committed to the comprehensive education of its students, manages dozens of agreements related to professional internships and social service every month. These documents are essential for connecting its community with the productive and government sectors.
Until recently, the process relied on manual reviews, in-person signatures, and a chain of approvals that could take up to 15 days per agreement.
Faced with a growing demand for agreements and the need to respond quickly to host institutions, the University set out to modernize its document management without compromising legal validity or regulatory compliance.
The new framework had to ensure security, traceability, and efficiency while maintaining the trust of the legal and administrative teams.
With Mifiel's support, the University implemented an advanced electronic signature (e.firma) workflow that transformed its process. Agreements are now managed through simultaneous review and signing, with automatic validation of document integrity and authenticity.
Thanks to this digitization, the need for physical witnesses was eliminated and the process was standardized using digital templates adapted to the different types of agreements.
Although the solution was implemented just a few months ago, the university has already seen a tangible impact on its process. Of the hundreds of documents signed during this period, about 25% were completed in less than a day from the initial invitation to the final signature, and more than 80% were fully signed in less than a week. The average signing time was reduced to less than 4 days, compared to the ~2 weeks required by the previous manual process.
This improvement reflects the consolidation of simultaneous workflows, the use of digital templates, and legal validation under the advanced electronic signature (e.firma) and NOM-151, which allowed for the complete elimination of the need for in-person signatures.
Today, the university responds almost immediately to its students and receiving organizations, achieving efficiency, traceability, and regulatory compliance without administrative friction. Implementing Mifiel not only resolved an operational bottleneck but also raised the standards of efficiency, compliance, and service in institutional agreement management.
